| Next | | The Role of the CPS Council | CPS elects its Council at the Annual General Meeting each year. There are 12 CPS Councillors, four of whom hold the following executive positions:
- President
- Vice-President
- Secretary, and
- Treasurer
Each member of council holds their office until the conclusion of the CPS Annual General Meeting following the date of the member’s election, but is eligible for re-election provided they continue to satisfy the eligibility criteria.
Council meetings are held monthly, usually a week prior to the CPS General Meetings. Any delegate of a Group Member or an Individual member of CPS is eligible for nomination to CPS council.
Some members of council are parents who do not currently have a child at preschool but feel they wish to contribute their experience gained from previous years on a parent association or they are making the most of their “gap-year” (the time in between each child’s preschool enrolment).
The CPS Council has the overall responsibility for determining policy, also the control and management of CPS affairs and supervising the employment of a part-time Executive Officer. | | 2010 CPS Council Meeting Dates | Outgoing CPS Council: 16 February, 2 March. Incoming CPS Council: 6 April (orientation), 4th
May, 1st June, 29th June, 3rd August, 7th September, 12 October, 2nd November, 7th December and early in February 2011.
These meetings all commence at
7.30pm and are held in Meeting Room 1 of the Centre for Teaching and
Learning, Fremantle Drive, Stirling (unless by mutual arrangement).
| Roles of the CPS Councillors | | President: | Chairs all general and council meetings. The role of the President includes:
-
providing leadership;
- acting as spokesperson for the Society;
- reporting
to council and general meetings about the activities of the Council;
- ensuring communications between the Department of Education and
Training, ACT Parent & Citizens’ Council and the CPS are
maintained;
- representing the Society at meetings with DET and other
significant meetings;
- encouraging parental participation, and
- negotiating, in consultation with other council members, the terms and
conditions of the Executive Officer’s position.
| Vice-President: | Supports the President and assumes the responsibilities of the
President in his or her absence or when delegated to do so. The Vice
President should also familiarise themselves with the operation of the
Society and duties of the President. | | Secretary: | Takes the minutes of all council and general meetings, including taking
record of members present at council and general meetings. In
consultation with the Executive Officer ensure that an Agenda is drawn
up for all meetings and correspondence is attended to. In the absence
of a duly elected/appointed Public Officer of CPS, perform the duties
required. | | Treasurer: | Has the responsibility for all funds received and expended by the
Society and recording all transactions. Provides a financial report to
Council and General Meetings showing receipts and payments since
preceding meeting. Following the close of the financial year, prepares
annual financial statements together with all financial records for
audit and presentation at the AGM of the Society. Ensures an adequate
level of petty cash is provided for office staff. Provides a budget for
the first general meeting of the Society in each year. | | Councillors: | Are required to attend all council and general meetings of the Society.
Council members represent the views of members at Council level and
ensure that adequate discussion is undertaken prior to decision-making
processes. These are the most important roles - as they provide insight to the issues facing parents and in this way ensures that decisions and actions are in the best interests of all our members. It also means that you don't have to have any experience other than be the carer or parent of a young child.
